How Orbium and Orbium Group companies collect, process and use data provided by job applicants
Depending on the location of the open position for which you are applying, the local Orbium Group company will collect, process and use the personal data you provide with your application solely for recruitment purposes.
You can find contact information, including physical office addresses, for all local Orbium Group companies on our website under Contact Us/Locations.
Your personal information will be used by the local Orbium Group company which advertised the open position as well as by other members of the hiring team who may or may not be employed by a different Orbium Group company in another country. If your application is for a position at an Orbium Group company which is not local to you, your data will be transferred to that Orbium Group company. With your consent, prospective applications might be used in our talent pool. Any data will be shared only with other Orbium Group companies for recruitment purposes only.
During the application process you may be asked if you consent to be added to our talent pool. This means that your information may be used to check if your candidacy would be suitable for a different open position. Other open positions may be in the same location, a different location and/or with a different Orbium Group company.
The process described below is identical in all our locations:
If you apply through a different channel, e.g. via post, e-mail or an agency, either for a specific open position or as an unsolicited application, the data and documents provided will be made accessible to the recruitment personnel of the local responsible Orbium Group company. Our recruitment personnel will enter your application data in SmartRecruiters to create the candidate profile for you. You will receive an e-mail notification from SmartRecruiters once your profile has been created and will be asked for your consent to keep your profile and process your data for application purposes. You can manage in SmartRecruiters your profile and application with Orbium, withdraw from your application or even delete your profile.

b) Selection Process
We will use your application data solely for the purposes of assessing your suitability for the open position concerned. As part of this process, your application data will be accessed by the Orbium recruitment personnel of the relevant Orbium Group company. Orbium recruitment personnel will additionally provide access to your candidate profile in SmartRecruiters to the hiring team for their verification. The hiring team consists of the manager of the department relevant to the open position, internal interview partners, as well as any other managers making decisions during the recruitment process. Members of the hiring team may be located in a different Orbium Group company. Once your application is processed to completion, access to your candidate profile, including your data and documents, will once again be restricted to Orbium recruitment personnel only.
In the course of regular maintenance activities, technical support staff for SmartRecruiters may be able to access your data. Under no circumstances will the staff of SmartRecruiters be actively involved in Orbium’s recruitment process.
c) Orbium Talent Pool
Upon completion of the recruitment process for the open position for which you were considered, Orbium may wish to consider you for future job opportunities. This means that you will be added to Orbium’s talent pool. If you have not given your explicit consent to be added to our talent pool at the time of your initial application, we may contact you prior to the deletion of your application data and candidate profile. You then have the option to consent or not to Orbium keeping your data and candidate profile for the purposes of the talent pool. Should you give your consent, our recruitment personnel might regularly access your data to assess your potential suitability for new open positions and will ask for a new application from you if there is a suitable role. If you withhold consent, your application data and candidate profile will be deleted.
Right of Information, Amendment, Portability, Restriction and Deletion of your personal data
You are entitled, amongst other rights, to:
- request information on all personal data we collect from you;
- to require corrections and amendments to your data;
- to request further restrictions on processing your data;
- to export the data to you;
- to request the deletion of your personal data.

How long do we store your data?
If your application to work at Orbium is unsuccessful, we will delete your application data and your candidate profile in SmartRecruiters in compliance with the local legal requirements. Only in the case where you have applied for a new open position and you have given your consent to the way we collect and process your data, will Orbium retain your application data and candidate profile in SmartRecruiters.
If you have consented to be kept in our talent pool, we will retain your application data and your candidate profile in SmartRecruiters for a period of 2 years. Upon expiration of the 2-year period, we may contact you prior to the deletion of your candidate profile. You will then have the option to consent or not to Orbium retaining your application data and the candidate profile for a further period of 2 years.
